LASPAU: Academic and Professional Programs for the Americas is a nonprofit organization affiliated with Harvard University and governed by an independent, inter-American board of trustees. LASPAU designs, develops, and implements academic and professional exchange programs on behalf of individuals and institutions in the United States, Canada, Latin America, and the Caribbean. While most of these efforts are devoted to graduate-level exchanges, undergraduate and professional non-degree programs also form part of LASPAU's scope of activities. The organization is unique in its strong regional focus, administrative expertise, and foundation in the Harvard community.

Staff Assistant II - Specialist (Testing & Communications Assistant)

Salary Grade 052, Full-Time, Eligible for Overtime

Duties And Responsibilities: Reporting to the Senior Program Officer for Communications, assists with general communications activities and a variety of tasks related to LASPAU's standardized test program (PAEP) and other tests (TOEFL, GRE) administered by LASPAU. Orders exams; ships testing material. Coordinates invoices and payments. Scores exams using automated form reader; coordinates the composition grading process, and reports scores to clients. Disposes of completed exams and other materials using established protocol. Conducts biannual inventory of all exams; prepares reports for distributors and institutions. Monitors signed agreements and their expiration dates; ensures appropriate security standards. Enters all transactions in database and maintains updated files for all operations. Working closely with the Editorial Assistant and Publications Coordinator to help ensure the accuracy, quality, and timeliness of information submitted to or provided by LASPAU to grantees and other interested parties. Assists with data management for online application and online student portal. Reviews returned material and enters new or updated information, if available, in database. Schedules and tracks the application and selection process for the L.A.T. Trustees' Awards. Researches and updates information for print and electronic publications as needed. Responsible for incoming mail coverage on a rotating basis. Performs related general office duties and special projects as required. Term position ending on December 31, 2008 with possibility of renewal.

Required Education, Experience and Skills: BASIC QUALIFICATIONS: two years of related experience in an office environment required. Spanish fluency required. ADDITIONAL REQUIREMENTS: Bachelor's degree preferred. Well organized, highly attentive to detail, ability to work under tight deadlines, excellent verbal/written communication skills, ability to work both independently and in a team. Proficiency in MSWord, Excel, Access and Internet research preferred.

Staff Assistant II - Specialist (Staff Assistant II -Specialist)

Salary Grade 052, Full-Time, Eligible for Overtime

Duties And Responsibilities: Reports to Executive Director and supports both the Executive Director and the Associate Director for Programs. Maintains Director's and Associate Director's schedules, files and correspondence; arranges travel and accommodation, purchases tickets, and processes reimbursements. Assists design/implementation/evaluation of events and presentations. Responds to calls and correspondence in Director's and Associate Director's absence. Contacts clients to determine appropriate dates and venues for meetings, arranges for meeting sites and accommodations, plans menus and arranges for meals or other refreshments associated with meetings. Prepares materials for meetings and distributes to participants in advance. Maintains and updates database files. Drafts correspondence in Spanish and English. Responsible for mail sorting on a rotating basis. Also assists in the Program Office with assistance for the OAS Program. Performs related general office duties and special projects as required. Term position ending December 31, 2008 with possibility of renewal based on funding.

Required Education, Experience and Skills: BASIC QUALIFICATIONS: two years administrative experience, preferably executive assistance; fluency in Spanish required. ADDITIONAL REQUIREMENTS: College degree preferred; knowledge of French and/or Portuguese helpful; experience working with institutions of higher education in Latin America and the Caribbean essential, excellent verbal/written communication and organizational skills, ability to multi-task and manage changing priorities and competing demands, careful attention to detail essential, ability to work both independently and in a team, excellent office skills including competency in MS Office, MSWord, PowerPoint, Excel, and Internet research.

Staff Assistant II - Specialist (Temporary Program Assistant for OAS)

Salary Grade 052, Full-Time, Eligible for Overtime

Duties And Responsibilities: Reports to Program Advisor for OAS and supports both Program Advisor and a temporary Program Advisor for OAS who advise OAS scholarship recipients from Latin America, the Caribbean, the United States, and Canada studying in graduate and undergraduate programs throughout the region. May contribute support to Associate Director for Programs in the administration of scholarship programs. Inputs applicant information into database and maintains accurate up-to-date data on students, contacts, and institutions. Generates reports from database and creates and maintains spreadsheets to track large volumes of information. Sets up & maintains paper files and folders. Creates and produces lists and final reports for internal reference and reporting to external funding agency. Prepares & produces visa eligibility documents (forms DS-2019) and ensures their delivery to student and/or domestic or overseas institutions. Processes financial & insurance paperwork and works with LASPAU finance office to develop and maintain systems. Communicates via phone, e mail and regular mail with students, domestic and international funding agency personnel, and U.S., Canadian, Caribbean, and Latin American institutions. Creates spreadsheets and tracks and maintains information. Coordinates or collaborates on team projects. May assist in the planning of conferences, visits, tours, and other activities as needed. Other duties as required. Term position ending July 31, 2008 with possibility of renewal based on funding.

Required Education, Experience and Skills: BASIC QUALIFICATIONS: high school diploma and Spanish fluency required. ADDITIONAL REQUIREMENTS: College degree and one year work experience preferred. Experience with data and word processing and accurate keyboarding skills. Familiarity with Windows XP and Microsoft Office programs (Word and Excel) preferred. Knowledge of French and/or Portuguese desirable. Flexibility, and willingness to work in a team environment important.
